Create an Email Alert with Flow

Step-by-Step Guide to Create an Email Alert Using Flow, Email Alert, and Email Template to Target Leads

Step 1: Create an Email Template

1. Go to the 'App Launcher' and type 'Email Templates'.
2. Click on 'Email Templates'.
3. Select 'New Email Template'.
4. Enter the following details:

  • Name: Enter a name for your template.

  • Email Template Type: Select 'Custom (without using Letterhead)' or 'HTML (using Letterhead)' as per your requirement.

  • Subject: Input the subject line of your email.

  • Email Body: Compose the content of your email. Use merge fields to personalize the email for the recipients.

5. Click 'Save'.

Step 2: Create a Flow

1. Navigate to 'Setup' from the gear icon in the upper right corner.
2. In the Quick Find box, type 'Flows', then select 'Flows'.
3. Click on 'New Flow'.
4. Choose 'Record-Triggered Flow' and click 'Create'.
5. Set the flow to trigger after the record is created or updated and select 'Lead' as the object.
6. Define the entry criteria based on your needs (e.g., when a Lead is assigned to a specific queue or has a certain status).
7. Click 'Done'.

Step 3: Add Actions to the Flow

1. In the Flow Builder, drag and drop the 'Action' element onto the canvas.
2. Choose 'Email Alert' as the action type.
3. Select the 'Email Alert' you want to use. If you have not created one yet, you will need to create an Email Alert in Setup first (Setup > Email > Email Alerts > New Email Alert).
4. Configure the fields:

  • Recipients: Choose 'Lead Email' to send it to the Lead's email directly.

  • Email Template: Select the email template you created earlier.

5. Click 'Done'.

Step 4: Save and Activate the Flow

1. Click on 'Save' in the upper left corner of the Flow Builder.
2. Name the flow and provide a description.
3. Click ‘Activate’ to start using your flow.

Step 5: Testing the Flow

1. Create or update a Lead record that meets the criteria you set in the flow.
2. Check the Lead’s email inbox to verify that the email alert is sent.
3. If necessary, make adjustments in the flow or email template based on your findings.
